Your employees probably don't need another app.


Over the past twenty years, businesses have become extraordinarily good at giving people access to information. Email made communication immediate. Cloud platforms made documents available almost anywhere. Collaboration tools brought conversations, files and meetings together. Business systems made operational information increasingly visible, while mobile technology meant employees no longer needed to be sitting at a particular desk to access any of it.


It has been an extraordinary transformation.


And now AI is accelerating it again.


Information that once took hours to create can be produced in seconds. Meetings can be automatically transcribed and summarised. Business data can be analysed without somebody spending half a day working through a spreadsheet. Lengthy documents can be condensed into a few paragraphs. Managers can turn rough thoughts into polished communications almost instantly.


We are rapidly removing the friction involved in creating information.


Yet ask a surprisingly simple question — “Did everyone see the message?” — and many organisations suddenly become much less confident.


Because something interesting has happened.


For years, technology helped businesses overcome information scarcity. Information was difficult to create, difficult to distribute and often difficult to find.


Today, information is everywhere.


The problem is getting anybody to notice the information that matters.


The modern workplace doesn't have an information problem.


It has an attention problem.


AI changes the economics of communication


There is a reason this matters now.


AI is often discussed in terms of productivity. We talk about the time it can save, the tasks it can automate and the insights it can extract from information that would previously have required considerable human effort.


Much of that potential is real.


But there is another consequence that receives less attention.

When something becomes dramatically easier to produce, we normally produce more of it.


Photography is an obvious example. When taking and processing photographs was relatively expensive, people took comparatively few. Once everyone carried a high-quality digital camera in their pocket, the number of photographs we created exploded.

Information may be entering a similar period.


A manager who might once have written a short email can now produce a comprehensive update almost instantly. A meeting that previously generated a few handwritten notes can produce a transcript, summary, list of decisions and individual actions automatically. A business system that once required somebody to interpret its data can increasingly explain what has changed and generate a report about it.


None of those things is inherently bad. Quite the opposite. Used intelligently, they can make organisations considerably more productive.


But the employee receiving all this information hasn't acquired an extra four hours in their working day.


Human attention hasn't scaled with our ability to produce content.


That creates a strange paradox. We have never had better tools for creating, analysing and distributing information, yet it may become increasingly difficult for an important piece of information to compete with everything else demanding someone's attention.


AI therefore presents businesses with a challenge that goes beyond simply deciding where and how to deploy AI.


Organisations may also need to think about what happens when AI becomes normal.


What happens when every department can create more communications? When every meeting generates more information? When every business system can surface more insights? When summarising information becomes almost effortless?


At some point, creating more information stops being the difficult part.


Deciding what deserves attention becomes much more valuable.


And that may have important consequences for how we think about workplace technology.

Ubiquitous Information

Available isn't the same as communicated


We sometimes use sent, published and communicated almost interchangeably.


They aren't necessarily the same thing.


An important update can be sent successfully to every employee in an organisation. Technically, the communication has been delivered. But whether everybody noticed it, understood it or acted upon it is a completely different question.


This isn't necessarily a failure of the communication platform. It is often simply a consequence of how people work.


Consider the average working day. People move between conversations, meetings, emails, documents and applications while trying to complete the work they were actually employed to do. Every system has legitimate reasons for requesting their attention, but collectively those requests become competition.


AI may help by summarising some of that noise, but even a perfectly summarised message still has to be noticed.


There is another complication.


Not everybody experiences the workplace through a laptop.


That can easily be forgotten when workplace communication is designed predominantly by people who spend much of their own working day in front of one.


An employee working in an office may naturally move between email, collaboration platforms and business applications throughout the day. Someone working in a warehouse, manufacturing environment, retail location or another operational role may interact with digital information very differently.


They may technically have access to exactly the same company communication.


But access and attention aren't the same thing.


This is where another app can become an appealing answer. If employees aren't seeing information, perhaps we need a new platform. If engagement with the intranet is poor, perhaps we need a better intranet. If messages are being missed, perhaps we need another notification.


Sometimes that will be exactly the right answer.


But perhaps sometimes we should ask a different question.


Rather than asking where can we publish this information?, perhaps we should ask where would this information actually become useful?


That changes the conversation.


A piece of operational information can have relatively little value sitting inside an application somebody has to remember to open. Put that same information into the physical environment at the point where a team is making decisions and its relevance changes.


A company message buried amongst dozens of other digital communications may be overlooked. Encountered naturally within the workplace, it may reinforce something employees have already heard elsewhere.


The information hasn't changed.


The context has.


And context has an enormous influence on attention.


Perhaps the physical workplace is becoming a filter


For much of the digital era, one of technology's greatest achievements has been removing the importance of location.


We can access documents without being in the office. We can attend meetings without being in the meeting room. We can collaborate with colleagues without being in the same country. Information can follow us almost everywhere.


That isn't going away.


But there is an interesting counterpoint.


As information itself becomes increasingly abundant, place may become more valuable because place provides context.


Think about the difference between receiving another notification about a meeting room and seeing its availability as you walk towards it. The underlying information may be identical, but one arrives amongst dozens of other digital interruptions while the other appears precisely when it becomes relevant.


The same principle applies much more widely.


Information about a business means something different when encountered in reception than it does in an email. Operational information has a different relevance when it is visible where the operation is actually taking place. Performance information becomes something different when it forms part of the shared environment of the team responsible for that performance.


Physical location helps answer questions that digital communication often struggles with.


Why am I seeing this? Why does it matter to me? Why does it matter now?


This doesn't mean the workplace needs to become covered in screens. In fact, that could simply reproduce the digital attention problem in physical form.


We've all experienced environments where digital displays have effectively become wallpaper. Content continues to appear, the displays work perfectly and the technology is doing exactly what it was designed to do.


Nobody is looking.


That isn't an argument against digital signage.


It's an argument for thinking more carefully about what signage is actually for.


A screen doesn't become useful because it can display information. It becomes useful when its position, content and purpose combine to make that information relevant.


And this is where the relationship between physical space and digital information becomes much more interesting.


Perhaps the workplace doesn't simply need more technology.


Perhaps it can become a filter.


A way of taking the enormous quantity of information an organisation already possesses and making a very small part of it visible at precisely the point where it has meaning.

Clear, simple information where and when needed

AV can become the physical interface to the digital organisation


For an AV integrator, this creates an interesting change in perspective.


Traditionally, it is easy to describe audiovisual technology through the equipment itself.


Displays, audio systems, collaboration technology, cameras, control systems and digital signage platforms are tangible things. They have specifications, features and prices.


But the equipment isn't really the interesting part of this conversation.


The information is.


Most established organisations already possess extraordinary quantities of useful information. Customer information sits inside CRM. Operational information lives within business systems. Company knowledge exists within collaboration platforms and intranets.


Room availability is held in calendars. Performance data sits inside dashboards and reporting platforms.


The problem often isn't creating another source of information.


It is connecting the information businesses already have with the places where it becomes useful.


That is where I think the role of workplace AV becomes significantly more interesting.


AV can become the physical interface to the digital organisation.


A display stops being simply a screen and becomes a point at which digital information enters the physical environment.


That distinction matters.


If we begin with the screen, the project naturally becomes about screen size, brightness, location, mounting and content-management software. All of those decisions eventually matter, but they don't tell us whether the project is worthwhile.


If we begin with the information, we ask different questions.


Who needs to know this? When does it become relevant? Where is that person likely to be at that moment? Does the information need to be acted upon or simply understood? How long does it remain useful? What happens when it changes?


Only after understanding those things does the technology become particularly interesting.

And sometimes the answer will be surprisingly simple.


An organisation may already have the information, already have the business systems and perhaps even already have some of the physical technology. The opportunity may simply be connecting them more intelligently.


That is a very different philosophy from adding another application to somebody's working day.


Instead of asking an employee to remember to visit another destination for information, we allow useful information to become part of the environment around the work.


This can apply across very different organisations without turning into a catalogue of AV use cases. The technology appropriate for a corporate headquarters will naturally differ from that required within a warehouse, manufacturing facility or customer-facing environment.


But the design principle remains the same.


Start with the information and the person who needs it, not the display.


This is also why good AV integration increasingly sits across disciplines that might once have been treated separately.


The physical workplace, IT infrastructure, collaboration platforms, business systems and communication strategy are becoming more interconnected. A workplace experience doesn't necessarily recognise the organisational boundaries between IT, Facilities, Internal


Communications and AV.


Neither does the employee.


They simply experience whether information is useful when they encounter it.

That is ultimately what matters.


The future isn't more information. It's better attention.


There is a fascinating possibility in all of this.


AI may eventually help solve some of the very problems it is currently accelerating.

Today, much workplace communication still depends on people deciding what to publish, where to publish it and how long it should remain visible. As systems become more intelligent, they may become increasingly capable of understanding context.


Not simply what information is available?


But:

What matters here, now?


That is a much more interesting question.


Imagine workplace technology that doesn't attempt to show everything it knows. Instead, it understands enough about the environment to surface what is relevant and suppress what isn't.


That could represent a significant change in the way we think about intelligent buildings and workplace technology.


For years, sophistication has often been demonstrated through quantity. More data. More dashboards. More functionality. More integrations. More ways to communicate.


Perhaps the next generation of workplace technology will demonstrate intelligence through restraint.


The best operational information might not be a dashboard containing twenty metrics. It might be the one exception that requires somebody's attention.


The most effective workplace communication might not be the longest or most polished message. It might be the single sentence somebody sees at exactly the right moment.


And perhaps the cleverest AI system won't be the one capable of generating the most

content.


It will be the one intelligent enough to know what not to show us.


That changes the role of AI from simply creating information to helping organisations manage attention.


It also creates a much more interesting future for workplace AV.


Meeting rooms, collaboration spaces, digital signage, operational displays, reception technology and other workplace systems no longer need to be thought about simply as individual technology projects. They are all points at which people interact with digital information inside a physical environment.


The opportunity is to make those interactions more relevant, more contextual and less demanding.


This is particularly important because the answer to information overload cannot simply be more information.


Nor can the answer to notification fatigue always be another notification.


Businesses don't necessarily need more places to publish things.


They need to become better at deciding what deserves attention.


AI will continue to make information easier to create. It will become better at analysing it,

summarising it and understanding what it means.


But human attention will remain finite.


That may make attention one of the most valuable commodities in the future workplace.

And it means the challenge for workplace technology is changing.


For years, the question was:

How do we give people access to more information?


Increasingly, perhaps the better question is:

How do we make the information that matters impossible to miss?


That is a question that takes us far beyond simply putting screens on walls.


It means understanding people, information and physical spaces together. It means thinking about where information becomes useful rather than simply where it can be displayed. It means connecting existing business systems with workplace technology rather than automatically creating another isolated platform.


And it means recognising that sometimes the smartest technology decision might actually result in somebody having to interact with technology less.


Your employees probably don't need another app.


They don't need another place to check just in case something important has happened.

They don't need every piece of information an organisation is capable of producing.

They need the information that matters.


In the right place, at the right moment, for a reason they immediately understand.
